A claim in the 90-plus bucket is worth a fraction of the same claim at thirty days, and past the filing limit it is worth nothing at all. Old money has a deadline on it, which is why it gets worked first.

Oldest bucket first

Aging is worked from the oldest bucket down, because that is where the deadlines are. Every claim in the queue gets a status and a next action rather than a note saying it was reviewed. Claims approaching a filing or appeal deadline are escalated ahead of larger but safer balances.

Actual payer calls

Portal status checks are quick but frequently useless — a portal will tell you a claim is "in process" for ninety days. Where the portal cannot resolve it, someone calls the payer, gets a representative and a reference number, and records what was said. That call log is yours.

Cleanup as a fixed-scope project

If the problem is a one-off backlog rather than an ongoing process, aged A/R cleanup can be scoped and quoted on its own without moving your day-to-day billing. You get a written read on what looks recoverable, what is past filing limits, and what should be written off, before committing to the work.

Common questions

How far back is old A/R worth working?
It depends on the payer filing and appeal limits that apply, not on the age alone. Some balances a year out are recoverable and some at six months are already dead. The free A/R review exists to sort one from the other.
Do you recommend write-offs?
Yes, where a balance is genuinely unrecoverable. Carrying dead balances makes your aging report useless as a management tool, and the recommendation always comes with the reason.
Can you work A/R without taking over our billing?
Yes. Aged A/R recovery is commonly bought as a standalone fixed-scope project, and some practices never move their ongoing billing at all.
